We currently have an exciting opportunity for an Administration Assistant.  The role will be based at our Foxbridge Logistics Centre in Normanton, Wakefield.


What will the role involve?


You will work as part of a small team carrying out administration task and managing our supplier relationships when ordering pumps and equipment for operational teams in Yorkshire Water. You will ensure value for money is gained from our suppliers. You will also take wider equipment/plant enquiries capturing detailed information to ensure correct solution is sourced. This will be with either Yorkshire Water assets or services hired in through our contract partners.
 

You will liaise with our internal and external stakeholders with a view to develop better ways of working and increase the efficiency of our processes and procedures. 
 

As well as administration duties, you will help coordinate the workload for both the delivery of internal and external services. This involves planning in work, processing goods and working closely with various teams within Yorkshire Water to ensure we get it right first time.
 

Some of the key role responsibilities include the following – 
 

•    Responsible for managing the Mitigation hire desk that covers a range of equipment which includes mobile diesel pumps, variable speed drives, aeration units and ancillaries.
•    This includes planning and coordinating both reactive and proactive requests via phone and email.
•    Managing all enquiries through to completion either by fulfilling with internal equipment or having to hire equipment externally.
•    Responsible for getting quotations from external contractor approved by site mangers before deployment.
•    Arranging site visits when required.
•    Organising transport to deploy and collect equipment when off hired.
•    Liaising with site operators to book in installation and decommissioning dates.
•    Managing stock levels of internal of equipment and responsible for booking equipment in and out.  
•    Updating and managing a range of different weekly and monthly reports for performance and spend.
•    Validating monthly external hire spend.

 

What skills are we looking for?
 

You will be highly organised able to manage a varied workload and have excellent administration skills. You will be able to demonstrate a keen eye for detail, within a fast-paced environment.  You will be an excellent communicator and team player with a good telephone manner and excellent interpersonal skills.
 

You will be proficient in the use of Microsoft office packages especially Microsoft Excel and be willing to learn new IT systems, as we use a range of IT systems within the role.
